August 2026 update

This update comes almost entirely from feedback sessions with practices using Practicos day to day: clinic rooms on the calendar, connecting notes to their appointments, recording whether a cancellation came with notice, a Today screen that starts with your own day — and, for practices that don’t invoice through Practicos, the option to switch invoicing off entirely.

If your practice has more than one treatment room, you can now set your rooms up in Settings and choose a room when booking an appointment. The room shows on the calendar and in the appointment details, and if two appointments are booked into the same room at overlapping times, the calendar flags the clash — just as it does for a double-booked therapist.

Rooms are for your internal scheduling only: clients never see them in reminders or messages. If your practice doesn’t use rooms, nothing changes.

Switch invoicing off if you don’t use it

Not every practice invoices through Practicos. A new Settings → Features page (practice owners only) lets you switch the invoicing module off for the whole practice. Invoices and Accounting leave the navigation, and invoicing disappears from client pages, the dashboard, reports and search — so the screens you use aren’t cluttered with ones you don’t.

Nothing is deleted: switch it back on and everything is exactly as you left it. While it’s off, your practice launch checklist stops suggesting invoicing steps too.

Notes written from a client’s record can now be connected to the appointment they belong to. When you save a note dated near a past appointment that doesn’t have a note yet, Practicos asks whether that’s the one — and any note without an appointment has a Link to appointment option showing the client’s nearest matching sessions. Once linked, the note clears from your outstanding-notes list.

Record whether a cancellation came with notice

When you cancel an appointment, you now choose whether the client gave notice or not. It’s always your call — notice usually arrives by phone before anyone’s opened Practicos, so we never guess it from timings. Cancelled appointments show the answer on the calendar and in the appointment details, the calendar can filter by it, and reports include a with/without-notice breakdown of the last 90 days.

Older cancellations simply show as cancelled, and there’s no automatic billing impact — what you charge remains your decision.

The Today screen now shows your own appointments first, whatever your role. Owners and managers can switch to Whole practice, and Today remembers the choice. Solo practices see no switch — Today is simply your day.

Today also gained an Outcomes to confirm section: past appointments never marked as happened, no-show or cancelled now have a home, with one-tap outcomes on each row and a link to older unresolved appointments. There’s deliberately no “mark all” button — outcomes are confirmed one at a time, so your attendance records reflect what actually happened.

  • The team dashboard shows plain counts instead of workload grades — each practitioner’s card now reads like “4 notes outstanding · 7 appointments today” rather than a Good/Moderate/High label. Same useful numbers, no judgement attached. See Your dashboard.
  • Nurseries and preschools are now education settings — they’re recorded as school-type organisations rather than separate categories, so they show up consistently everywhere. Badges still read “Nursery” or “Preschool”, the filters still find them, and existing records have been converted automatically. See Schools and organisations.
  • Completed appointments can now be edited — sessions overrun, so the recorded time and duration can be corrected after an appointment has happened. Only cancelled appointments stay locked. See Managing appointments.
  • Export appointments awaiting notes — the Outstanding Notes report can now download what’s on screen as a CSV file, respecting your practitioner filter. See Team notes oversight.
  • “Telehealth” is now called “Online” — the appointment location is labelled Online everywhere. Nothing changes about existing appointments.
  • A new “who attended” option for notes — “Child with teaching staff”, for school and nursery sessions where teaching staff sit in.
  • Note session times are now always right during British Summer Time — note times could previously display an hour later than they actually were, and editing a note’s session date or time silently didn’t save. Both are fixed, existing notes have been corrected automatically, and where a hand-typed note clearly matched a specific appointment, we’ve linked them for you.
  • Notes now appear in session order — the notes list on a client’s record is ordered by when the session happened, not by when the note was typed up, so catching up on write-ups no longer shuffles older sessions to the top.
  • “Load More” on a client’s notes now loads the next page — previously it repeated the same notes instead of showing older ones.
  • Booking from a client’s page no longer pops up the edit window — the appointment is simply created.
  • Pages scroll normally over tables — on pages with a table, such as your client list, the page wouldn’t scroll while your pointer was over the table. It now scrolls wherever your cursor is.
  • A saved card no longer shows as expired on the last day of its expiry month — a card ending 07/26 is valid right through 31 July, but on that final day it was shown as expired. It now stays valid for the whole of its last month.
